KAIROS HEALTHCARE: PRIVACY STATEMENT FOR WEBSITES

This Privacy Statement explains how we obtain and use your personal information and other types of data when you visit our website. It describes your rights in relation to your data, explains what we do with it and how we keep it secure.
Who we are
Introducing Kairos Healthcare.
All of the medical services provided by our branches, Kairos Medical Centre and Kairos Hospital, are collectively referred to as Kairos Healthcare. However, Kairos Medical Centre is the name registered by the Ugandan government.

What personal data we collect and why we collect it
The data that we collect from the different forms (appointment, newsletter signup, comments, and chats) on the website include:
Personal data: Name, Email Address, Phone Number.
Appointment data: Appointment Date and Appointment Message.
Chat data: The chat message.
Comment data: Comment Message, Website Address, IP address, and Permission to use Cookie.
In our chats with patients, data concerning a patient’s health may surface. Such data we retain for as long as the patient’s case exists. As soon as the problem is resolved, and the case is closed, the chat data is deleted.
The data collected for appointments serve to enable us interact with a patient to reserve an appointment to see a doctor. It also enables us notify patients/users of updates about our services and news. Users can opt out of the updates anytime. Appointment data is retained for the lifetime of the appointment and permanently deleted when no longer needed.
The data collected for newsletter signup enables us routinely notify patients/users of updates about our services and news. This data is retained and utilized until when we find it no longer useful, or until when the patient requests for it to be deleted.
The data collected through online chats serve to enable us interact with a patient to answer their queries, or reserve an appointment to see a doctor. This data is retained for the life of the issue being attended to and permanently deleted when the issue is resolved, or the case is closed.
Comments
When visitors leave comments on the site we collect the data shown in the comments form (name, email, website, comment message, and cookie consent), and also the visitor’s IP address. Data for approved comments “those that display on the article” last or are retained for the lifetime of the article. Data from disapproved comments are deleted immediately.
Media
None of our data collection forms provide for uploading media.
Contact forms
When someone submits a contact form, we collect the data shown in the form (Name, Email, Phone, and Message). We keep contact form submissions for approximately 8 weeks for customer service purposes, and delete when the interaction for the submission becomes inactive or when it closes. In addition, we use the email information submitted through them for newsletter updates. Users can opt out of the updates anytime.
Cookies
The website provides optional comments cookies. If a user consents or allows this cookie, it saves the user’s name, email, and website in this browser for the next time they comment.
Analytics
Our website hosting account collects visitors’ IP addresses to produce generic analytics data such as total number of visits for all visitors, and visit duration.
Who we share your data with
Service Companies.
We occasionally use the services of other businesses and people to carry out a range of tasks for us. For instance, we might give information as required to businesses that host our websites or send out newsletters on our behalf. These service providers may have access to information about you if it’s necessary for them to carry out their duties for us, but they are not permitted by us to use or disclose that information other than as required to carry out our requests or to comply with legal obligations. They are also obligated to keep the information confidential.
Legally Required.
We reserve the right to disclose information if required to do so by law or by a regulatory authority. We may also disclose information as part of an investigation or enforcement action relating to improper or illegal conduct in connection with our Online Platforms.
How long we retain your data
Generally, we do our best to ensure that your personal data is processed for the minimum period necessary for the purposes set out in this Privacy Statement. Different forms of information we collect have estimated retention periods as indicated in sub-sections above.
What rights you have over your data
You have the right to seek a copy of any personal information we may have on you, including any other information you may have given us. You can also ask us to amend or remove any personal information we may have on you. This does not apply to any information that we must maintain for administrative, legal, or security reasons. Additionally, you have the option to unsubscribe from receiving our emails and newsletter.

How we protect your data
We have put in place security measures to guard against the unauthorised use, access, alteration, or disclosure of your personal information and any other information you provide to us. Additionally, we only allow employees and other third parties who require access to your information to have it. They are obligated to maintain confidentiality and will only process your data as directed by us.
What data breach procedures we have in place
We have put in place internal procedures to deal with any suspected or real data breach and will notify you of any applicable regulator of a breach where we are legally required to do so.
